Exhibitors are required to provide evidence of their Company Public Liability Insurance (min. AUD $10 million Public). It is the exhibitor’s responsibility for ensuring that all equipment/materials brought onsite are covered by their own insurance - Onsite Contact Details – Please send your main onsite contact details to [email protected]
EXHIBITION HALL SETUP & BREAKDOWN

All exhibitors will need to be completely packed up and out of the exhibitions space by 3.30pm on 19/8/2025.

Accommodation is not included in your package. All attendees are required to book their own accommodation individually. Please visit the When & Where area on the event website for details on the Special Accommodation Event Rate.
Complimentary wireless internet will be provided for all exhibitors. If you require a fixed line connection, please contact the venue directly.
YOUR STAND
NATIONAL HEALTH WORKFORCE SUMMIT will be set up with tabletop exhibition display space. Exhibitors should not exceed their allocated space. Please be sure to check that your stand display/s will fit within your allocated space.
The following are provided for exhibitors:
1 x Trestle Table with cloth
2 x Chairs
1x Power Supply
All adapters and extension cables must be provided by the exhibitor. Informa/ Grand Hyatt Melbourne will not be able to provide these on site.
All exhibitors must ensure their testing and tagging of electrical equipment is up to date prior to arriving for bump in and understand that if their items are not tagged and tested then penalties from the venue may apply.

DELIVERIES & LOADING DOCK
Shipping & Delivery Instructions:
- Your company is responsible for booking your courier for both delivery and collection.
- Items may be delivered to the venue no earlier than Thursday, 14 August 2025.
- Please ensure all items are labelled using the attached delivery label, which includes key event details. Using a different label may result in items being misplaced at the venue.
- You must advise the Venue Contact of the expected delivery and to confirm items have arrived.
- All items must be collected by Wednesday, 20 August 2025.
You must book the courier and ensure that your items are clearly labelled with your company name, return address and contact details – attached return label. Ensure the courier consignment note remains with the shipment. Items left after this time may be disposed of.
Customs:
All goods must be covered by proper customs documents – please mention it is a temporary exportation to avoid paying more taxes than expected. The venue will not pay any taxes/duties etc. and will not accept any underpaid charges.

LOADING DOCK OPERATING HOURS:
Monday – Friday: 6am – 4pm
(except between 11am-2pm)
The loading bay is open between 06:00-17:00 Monday to Friday for delivery and pick up of goods.
Please note that due to the closure of Little Collins street daily between 11:00-14:00 the loading bay is not accessible during this time.
LOADING DOCK DETAILS
a) No parking is permitted in the loading bay.
b) Items are not permitted to remain in the loading bay
c) The Hotel will not be responsible for items left on the loading bay.
d) The Hotel does not supply staff or trolleys for the movement of goods to and from the dock.
e) All deliveries to the Hotel must be advised to the venue contact prior to delivery. Any deliveries that have not been confirmed with the Hotel will not be accepted by the Hotel. Your Venue Contact can assist with delivery receipt with detailed information to ensure that any items are received and stored accordingly.
PASS REGISTRATION
Deadline to submit all passes – Monday 28th July 2025
You are entitled to a certain number of complimentary registration passes per your agreement. If you are unsure how many passes you have used or what comes with your package, please contact Simone Bechini ([email protected])
Delegate passes are for the conference with access to the exhibition hall and conference sessions. Exhibitor passes are for the exhibition hall.

Our official suppliers are detailed within this exhibitor manual. These suppliers may contact you directly to confirm your requirements for this event. You may experience other contractors pitching you for your business and advising you they are the preferred contractor, however, unless the company is included in the service providers list, then they are providing false information.
