WELCOME TO THE EXHIBITOR MANUAL FOR NATIONAL DISABILITY SUMMIT

Here you will find the relevant information and forms to complete for the event.

Informa will be in contact directly to organise the Delegate/Exhibitor registrations which were included in your contract.

YOUR STAND

Exhibitors must not exceed their allocated space. Please be sure to check that your stand will fit within your space. This is tabletop exhibition; no built booths are permitted.

The following is provided for all stands free of charge:

  • 1 x trestle table (183cm L x 0.90cm W x 0.75cm H)
  • 2 x chairs
  • 1 x power supply

All adapters and extension cables must be provided by the exhibitor. Informa/ Rydges South Bank Brisbane will not be able to provide these on site.

All exhibitors must ensure their testing and tagging of electrical equipment is up to date prior to arriving for bump in and understand that if their items are not tagged and tested then penalties from the venue may apply.

PUBLIC LIABILITY INSURANCE

Please be advised that you are responsible for ensuring that any equipment or materials brought by yourselves are covered by your own insurance. You should have Public Liability Insurance** to cover your attendance at the event. Please send this through to us by Monday, 31 July 2023.

**It is an Informa Group policy that all exhibitors provide their own Public Liability Insurance for a minimum of AUD $10 million, valid for the event duration. If an exhibitor is unable to provide their own, they can purchase temporary cover under Informa Australia for the duration of the event, at a cost of AUD $200 + GST. ***


EXHIBITION SET UP & BREAKDOWN TIMES

Exhibition Bump In
From 7:00am – 8:30am on Monday 21 August 2023

Exhibition Bump Out
After Lunch from 1:15pm Tuesday 22 August 2023

*Please note that these times may change, you will be informed closer to the event if this is the case.

All exhibitors will need to be completely packed up and out of the exhibitions space by 5pm on Tuesday 22 August 2023.


VENUE & DELIVERIES

It is your responsibility to book your courier for both delivery AND collection.

Materials can be sent to the venue no earlier than Tuesday, 17 August 2023

Please use the delivery label for ALL items being delivered. It is important you use the attached label as it is clearly marked with details for the event. If you choose to use your own label, items may be lost in the receiving dock at the venue.

All goods must be covered by proper customs documents – please mention it is a temporary exportation to avoid paying more taxes than expected. The venue will not pay any taxes/duties etc and will not accept any underpaid charges.

Remember – it is your responsibility to arrange for items to be picked up at the end of the event – items must be collected by the end of Wednesday, 23 August 2023. You must book the courier and ensure that your items are clearly labelled with your company name and the return address. Items left after this time will be disposed of. Please use the return label and print enough to apply one per item.


LOADING DOCK ADDRESS AND DETAILS

Deliveries must arrive no earlier than 2 business days prior to the scheduled bump in day.
Should exhibitors wish to deliver their own items, it must be during the nominated bump in day/s. Deliveries to the loading dock during the scheduled bump in time may be subject to long delays and will be on a ‘first in first served’ basis.
All goods relating to the construction and fit out of your exhibition must be directed to the designated loading dock. Under no circumstances are goods to be delivered or removed from the exhibition space via any other areas.
Crown will not take delivery of stand fittings or other materials unless previously notified. Crown will
not accept responsibility for the safety or well being of any such items.

Delivery instructions to freight, couriers and contractors MUST be as follows:

Please note there is strictly no parking in the Loading Dock.

Let the venue know if any exhibitors will be bringing anything extra such as electrical stands, equipment for their stand as these might need to get approved.

Loading Dock:

  • Loading Dock operates between 08:00 and 16:00
  • Loading dock clearance height is 3500mm
  • If the Loading Dock is unattended please call 03 9292 8547
  • At the conclusion of your function we ask that all items be taken with you on the day
  • Any items left must be packed, labelled and if required have a signed couriers consignment note attached- couriers are to collect from loading dock 3
  • Crown will not be responsible for any item left on site
  • Items left on site will only be held for 7 business days after the event before they are disposed of
  • Please note that it is a requirement for all individuals accessing the Loading Dock outside of their vehicle to wear a high visibility vest/jacket/shirt

These suppliers may contact you directly to confirm your requirements for this event.  You may experience other contractors pitching you for your business and advising you they are the preferred contractor, however, unless the company is included in the service providers list, then they are providing false information.
