Exhibitors are required to provide evidence of their Company Public Liability Insurance (min. AUD $10 million Public). It is the exhibitor’s responsibility for ensuring that all equipment/materials brought onsite are covered by their own insurance - ConnectMe Listing – Please fill in this link to complete your ConnectMe (networking tool) profile.

Exhibitors must not exceed their allocated space. Please be sure to check that your stand will fit within your space. Exhibit Systems is the official stand builder for Connect Rail 2024
Requirements:
Please confirm your Fascia signage directly with our stand builder. Our stand builder will be in touch with you to confirm any booth requirements you may have; however, you can contact them anytime via email: robertj@exhibitsystems.com.au
* If fascia signage text is not confirmed with our official stand builder by the deadline, our stand builder reserves the right to print fascia signage as per the company name on your contract with Informa, and any changes required after this deadline may incur costs.
All adapters and extension cables must be provided by the exhibitor. Informa/ «Venue» will not be able to provide these on site.
All exhibitors must ensure their testing and tagging of electrical equipment is up to date prior to arriving for bump in and understand that if their items are not tagged and tested then penalties from the venue may apply.
DELIVERIES & LOADING DOCK
It is your responsibility to book your courier for both delivery AND collection.
Materials can be sent to the venue no earlier than Thursday, 1 August 2024
Please use the delivery label for ALL items being delivered. It is important you use the attached label as it is clearly marked with details for the event. If you choose to use your own label, items may be lost in the receiving dock at the venue.
All goods must be covered by proper customs documents – please mention it is a temporary exportation to avoid paying more taxes than expected. The venue will not pay any taxes/duties etc and will not accept any underpaid charges.
Remember – it is your responsibility to arrange for items to be picked up at the end of the event – items must be collected by the end of Tuesday, 6 August 2024. You must book the courier and ensure that your items are clearly labelled with your company name and the return address. Items left after this time will be disposed of. Please use the return label and print enough to apply one per item.

LOADING DOCK DETAILS
The loading dock is located on Bligh Street. The loading dock entry is a two-way driveway as this is shared with the valet car park, so please ensure you beep your horn as your proceed down the driveway
Loading dock operating hours: 7.30am – 4:00pm, Monday to Friday.
If you are expecting your deliveries to arrive outside the above hours, please contact our Guest Services on +61 2 9228 9188.
The loading dock’s height is 2.6m. There is a ramp to bring up smaller items or trucks & cars can be backed up to the dock floor which is 1.2m off the ground.
Cars and trucks unloading must make sure they are as quick as possible to ensure all exhibitors have adequate time to deliver their items up to the exhibition area.
Cars and trucks cannot be parked in the loading dock after they have set down their items. All parked vehicles need to be driven back up to Bligh Street to Wilson Parking.
The hotel does NOT have a fork lift; however there are 2 palette jacks on site and these can be used if available.
The hotel has limited number of trolleys and therefore their use depends on availability. It is recommended that you bring your own if you have any.
PASS REGISTRATION
Deadline to submit all passes – Monday, 15 July 2024
You are entitled to a certain number of complimentary registration passes per your agreement. If you are unsure how many passes you have used or what comes with your package, please contact Summer Lang (operations@informa.com.au)
Delegate passes are for the conference with access to the exhibition hall and conference sessions. Exhibitor passes are for the exhibition hall.
Complimentary Passes
The primary contact from each company will receive a unique link to access the Visit portal where you can register your complimentary delegate passes and exhibitor passes for the in-person event.
Instructions
- Click on your unique link; an access code will be sent to your email address. Only the primary contact’s email address will be given access.
- Click CONNECT RAIL 2024 under the Events area
- Click STAFF on the left-hand side navigation bar and register your complimentary passes
Speakers will automatically be registered by Rosie Hooley. Please do not use your delegate and exhibitor passes to register speakers.

Lead Retrieval
Lead Retrieval will be available through Visit Connect to all exhibitors and sponsors at no extra charge.
Lead Retrieval Setup
This is done via the same portal as pass registration. Your main company contact can login to the dashboard, and you will see the options “TEAM”, “QUESTIONS” and “LEADS” on the left hand side:
Team – register your colleagues attending the show and they will be provided with Lead Retrieval onsite in the ConnectMe App to allow scanning of QR codes from attendees badges to create your leads.
Questions – add your qualifying questions for your leads
Leads – this will show a comprehensive, real-time list of leads from your entire team onsite
These can be downloaded post-event as a .csv spreadsheet. You will receive an email in the lead-up to the show on how your team can access lead retrieval through their personal devices via the ConnectMe app.
Post Event
As an exhibitor you will still have access to your profile and access leads/responses obtained at the conference.

BETTER STANDS
Through our commitment to the evolution of the exhibitions industry, we aim to ensure that we are delivering the best possible experience for our customers. We believe that by moving away from the use of disposable exhibition stands we will improve the ease, quality, safety and sustainability of the exhibitor experience at our events.
Therefore, as part of event regulation we ask that exhibitors do not use disposable booths. Disposable booths are defined as space only stands made to be used only once which are usually constructed from raw materials at the venue during build up and the main structure is disposed of after the event.
**We are specifying that any freebuild exhibitors must demonstrate evidence at both the design concept and build methodology that your stand’s core structural materials are re-useable or recycled. Please send this document to any contractors you employ.

SPAM WARNING
List broking companies sometimes email exhibitors claiming to have attendee data. This is false and we advise you to delete this as it is spam.
SUPPLIER CALLS & EMAILS:
Our official suppliers are detailed within this exhibitor manual. These suppliers may contact you directly to confirm your requirements for this event. You may experience other contractors pitching you for your business and advising you they are the preferred contractor, however, unless the company is included in the service providers list, then they are providing false information.
