WELCOME TO THE EXHIBITOR MANUAL FOR THE 19TH AUSTRALIAN TUNNELLING CONFERENCE

DEADLINES

    1. Logo & Profile – Please send your EPS/AI logo and PDF brochure to operations@informa.com.au
    2. Pass Registration – See the Pass Registration section below for further information.
    3. Exhibitor & Contractor Health, Safety & Security Declaration – Please Click Here to complete the declaration.
    4. Public Liability Insurance – Please send to operations@informa.com.au.
      Exhibitors are required to provide evidence of their Company Public Liability Insurance (min. AUD $10 million Public). It is the exhibitor’s responsibility for ensuring that all equipment/materials brought onsite are covered by their own insurance
    5. ConnectMe Listing – Please fill in this link to complete your ConnectMe (networking tool) profile.
    6. Onsite Contact Details – Please send your main onsite contact details to operations@informa.com.au

YOUR STAND

Exhibitors must not exceed their allocated space. Please be sure to check that your stand will fit within your space.
Exhibit Systems is the official stand builder for The 19th Australian Tunnelling Conference

Requirements:
Please confirm your Fascia signage directly with our stand builder. Our stand builder will be in touch with you to confirm any booth requirements you may have; however, you can contact them anytime via robertj@exhibitsystems.com.au and tanyak@exhibitsystems.com.au

* If fascia signage text is not confirmed with our official stand builder by the above deadline, our stand builder reserves the right to print fascia signage as per the company name on your contract with Informa, and any changes required after this deadline may incur costs.

The venue will be able to provide 1 x trestle (without tablecloth & 2 chairs for your stand.

All adapters and extension cables must be provided by the exhibitor. Informa/UTS will not be able to provide these on site.

All exhibitors must ensure their testing and tagging of electrical equipment is up to date prior to arriving for bump in and understand that if their items are not tagged and tested then penalties from the venue may apply.

DELIVERES & LOADING DOCK

 

It is your responsibility to book your courier for both delivery AND collection.

Materials can be sent to the venue no earlier than Thursday, 9 May 2024

Please use the delivery label for ALL items being delivered. It is important you use the attached label as it is clearly marked with details for the event. If you choose to use your own label, items may be lost in the receiving dock at the venue.

All goods must be covered by proper customs documents – please mention it is a temporary exportation to avoid paying more taxes than expected. The venue will not pay any taxes/duties etc and will not accept any underpaid charges.

Remember – it is your responsibility to arrange for items to be picked up at the end of the event – items must be collected by the end of Thursday, 16 May 2024. You must book the courier and ensure that your items are clearly labelled with your company name and the return address. Items left after this time will be disposed of. Please use the return label and print enough to apply one per item.

LOADING DOCK DETAILS

Access to our Building 10 loading dock is via Thomas Street (next driveway to the car park entrance).
This can be utilized if you are arranging for any event materials to be delivered prior to your event or collection post event. Please advise your Function Coordinator if you are intending to make any deliveries so that we may coordinate with the carpark attendants on your behalf. Please be advised this is limited to a 15 minute timeframe.
If deliveries are to be made via courier, please advise your Function Coordinator of:

  • Number of items to be delivered
  • Delivery date
  • Approx delivery time (if known)

Monday to Friday, 6:30am to 10:00pm. Saturday, 6.00am to 5.30pm.
Sunday, 8.00am to 5.30pm.
Additional parking charges may apply for after–hours access.

In the event that this car park is full, Wilson Parking Novotel Sydney Central Car Park is also on Thomas Street, and is $36 per day.

PASS REGISTRATION

 

Deadline to submit all passes – Tuesday, 23 April 2024

 

You are entitled to a certain number of complimentary registration passes per your agreement. If you are unsure how many passes you have used or what comes with your package, please contact Summer Lang (operations@informa.com.au)

Delegate passes are for the conference with access to the exhibition hall and conference sessions. Exhibitor passes are for the exhibition hall.

Complimentary Passes

The primary contact from each company will receive a unique link to access the Visit portal where you can register your complimentary delegate passes and exhibitor passes for the in-person event.
Instructions

  1. Click on your unique link; an access code will be sent to your email address. Only the primary contact’s email address will be given access.
  2. Click THE 19TH AUSTRALIAN TUNNELLING CONFERENCE under the Events area
  3. Click STAFF on the left-hand side navigation bar and register your complimentary passes

Speakers will automatically be registered by Summer Lang. Please do not use your delegate and exhibitor passes to register speakers.

BETTER STANDS

Through our commitment to the evolution of the exhibitions industry, we aim to ensure that we are delivering the best possible experience for our customers. We believe that by moving away from the use of disposable exhibition stands we will improve the ease, quality, safety and sustainability of the exhibitor experience at our events.

Therefore, as part of event regulation we ask that exhibitors do not use disposable booths. Disposable booths are defined as space only stands made to be used only once which are usually constructed from raw materials at the venue during build up and the main structure is disposed of after the event.

**We are specifying that any freebuild exhibitors must demonstrate evidence at both the design concept and build methodology that your stand’s core structural materials are re-useable or recycled. Please send this document to any contractors you employ.

Our official suppliers are detailed within this exhibitor manual. These suppliers may contact you directly to confirm your requirements for this event.  You may experience other contractors pitching you for your business and advising you they are the preferred contractor, however, unless the company is included in the service providers list, then they are providing false information.
